Variable Pricing in GoTour
GoTour also gives you the ability to set different rates for each room. therefore you can have seperate rates associated to a single reservation. This is useful if you want to break down tour rates by age groups. For example, you can set a certain price for a senior citizen, a child, an infant, or a parent. GoTour allows you to do this using already determined one letter symbols to represent the rate costing. In order to use the rate codes, you simply place the code you want directly after the price. The rate codes are as follows:
In order to set the the rate codes you need to be at the main tour screen.Below is an example with some codes being used.
This example is using the rate codes for a double reservation. The code 316f+290s+300p+225c may look very strange but it is easy to figure out. 316f refers to the full rate. Remember you do not need to specify 'f' if you do not want to. GoTour will assume that a cost alone is the full rate. 290s tells GoTour to charge $290.00 for a senior citizen. 300p equates to a cost of $300 for a parent. Using these rate definitions, 225c would charge $225.00 for a child. You can use these rate codes with single, triple, etc reservations as well. When delcaring your rates make sure to use the addition sign without any spacing. Any spaces in your rate declaration will cause an error.
Once you have determined the rates you want to use and associated them with costs you can use them in a reservations. So, in this example we are going to make a new reservation. If you do not remember how to do this please reference the quick start quide for a refesher. Once at the passengers reservation screen you can specify what rate codes you will be using.
Here is a reservation using the rate code 1+1ss+1pc+1sp. This translates to a reservation for four double rooms. One at full cost, one double with both occupants at the senior citizen cost, one double with a parent occupant and a child and the last doulbe will be charged for one senior citizen and one parent. Using the prices that were set on the main tour screen you can arrive at the cost for this reservation.
1 double at full price: $316.00 + $316.00 = $630.00
1 double with 2 senior citizens: $290.00 + $290.00 = $580.00
1 double with a parent and a child: $300.00 + $225.00 = $525.00
1 double with a senior citizen and a parent: $290.00 + $300.00 = $590.00
Total cost of reservation: $630.00 + $580.00 + $525.00 + $590.00 = $2,327.00
The same method is used for applying rate codes onto single, triple and quadruple rooms. GoTour uses this break down on the party summary to make it easier to view what the charges are for. From the reservation screen use the Print Party Summary option to view the report.
As you can see the number of rooms is listed as well as any rates that apply. The cost per rate is there as well. This makes it easier to decipher exactly how the total cost is computed. This way your customers can better understand what the charges on the bill are for.
GoTour also gives you the ability to rename the codes. For example, if you do not want 'Senior' to show up on the party summary report you are able to modify it to your liking. In order to do this, you must be at the main tour screen.
Notice how the Rate Names section has been changed. It now reads 's=old,c=young'. This means that instead of the party summary listing the rate code 's' as a senior, it will now read 'old. The same applies for the 'c' rate. It will now read 'young' on the party summary report. Keep in mind that when you make changes to the codes, you must include a comma between each listing and omit any spaces. In order to view the changes you need to print a party summary report from the reservation screen again.
The party summary reflects the changes that have been made to the rate names. So, now you can set the names to any identifier you would like. Please note that the rate codes (f, s, p, c, i, y, t, and z) can not be changed .
